Information we collect

When you request a quote, we collect your name, email, project description, quantity and intended use. You may also provide a company name, telephone number, approximate dimensions and units, material or colour preferences, a desired date and a model file. A model may contain information you consider confidential; only share material you have permission to provide. Please do not submit sensitive personal information.

The hosting service processes technical connection information, such as IP addresses, request times and requested URLs, in operational and security logs. For form rate limiting, the site stores a keyed hash derived from your connection address and a time window, with an attempt count. The form rate-limit table does not store your raw IP address or project details.

Why we use it and our lawful bases

We use enquiry information to assess your request, clarify requirements, prepare a quote and communicate with you. Where you are asking about a contract with you personally, this is necessary to take steps at your request before entering a contract. For business representatives and general correspondence, we rely on our legitimate interest in responding to enquiries and operating the business.

We use limited connection and security information in our legitimate interest in protecting the website and preventing abuse. We do not use the quote form to enrol you in marketing, and the website does not make automated pricing or eligibility decisions.

Where information is stored and who can access it

Enquiries are stored in the website’s dedicated WordPress database. Uploaded models are kept outside the public web root, separate from the public Media Library. Access is restricted to authorised staff and service providers who need access to operate, host or maintain the site. Notification emails contain an enquiry reference and a staff sign-in link, rather than your model or project description.

The site uses its existing hosting environment to store and process enquiries and deliver notifications. If you email us directly, the message is handled by the email services involved in that correspondence. We do not sell enquiry information or send uploaded models to advertising or analytics services. The website does not intentionally transfer enquiry data to a separate third-party model-processing service.

How long information is kept

Automatic deletion of enquiries and models is disabled. Electrovo manages retention manually: information is kept while it is needed to assess an enquiry, communicate about it, carry out an agreed project, or deal with related questions or disputes. When those purposes no longer require the information, the enquiry and model can be deleted from the active system. Any records needed for a legal obligation are handled separately for that obligation. You can ask us about the need to retain your information at any time.

The website’s form rate-limit records expire after their short anti-abuse windows and are cleared by scheduled maintenance; the scheduled daily cleanup removes them within approximately three days. Site backups rotate the seven most recent full snapshots, with a backup scheduled daily. Manual backups also count towards that rotation. Deleted active-site information may remain in a backup until that snapshot expires. A backup is used for recovery, and retention must be checked again before a restored site resumes service. Hosting access and security logs are managed under the hosting provider’s own operational retention settings.

Your choices and rights

Providing the required contact and project fields lets us respond to the request. Without those details, the quote form cannot be submitted. Optional fields and a model are not required. You can contact us by email instead.

Depending on the circumstances, UK data protection law gives you rights to access or correct your information, ask for erasure or restriction, object to processing based on legitimate interests, and request portability where it applies. We may need to confirm your identity before acting on a request. Contact habib@electrovo.co.uk.

You can complain to the Information Commissioner’s Office if you are concerned about how your information is handled. We would welcome the opportunity to address your concern first.
